Privacy Policy

TrackRecruits helps high school track and field athletes introduce themselves to college coaches. Many of the people who use it are teenagers, so we collect only what recruiting needs, we don't sell anyone's information, and you decide what each coach sees. This policy explains what we collect, how we use it, who we share it with, and the choices you have.

TrackRecruits is for athletes who are 13 or older. We don't knowingly collect information from anyone under 13. If you believe a child under 13 has created an account, email support@trackrecruits.com and we'll delete it.

If you're under 18, please use TrackRecruits with a parent or guardian's knowledge. A parent or guardian can contact us at any time about their athlete's account.

Account: your email address and password (stored securely, never readable by us).

Recruiting profile: your name, graduation class, birth month and year (never your full date of birth), gender, height and weight (optional), high school, city and state, other sports, a race video or recruiting link (optional), and a profile photo (optional).

Events and recognition: the events you compete in, your personal records, and honors like state titles.

Contacts and academics (optional): your phone and email, a parent or guardian's name and contact details, your high school coach's details, results page links, GPA, test scores, NCAA or NAIA ID, and an unofficial transcript.

Messages: the emails you send to coaches through TrackRecruits and the replies coaches send back.

Usage: which pages are visited and simple actions, like "outreach started" or "email sent", to understand how the app is used and fix problems. These records are linked to an anonymous account number, never your name or email, and never include your messages or profile details. We don't record your screen or what you type.

Payments: if you subscribe to Pro, the card details are entered in a form run by our payment processor, Stripe, and go straight to Stripe. We never see or store your card number. We keep your plan, its status and renewal date, and Stripe's reference numbers for your account and receipts. The person who pays can be a parent or guardian.

We don't collect your home address, and we don't use advertising trackers.

  • To write your introduction email from your profile, personalize it for each coach, and send it when you choose.
  • To show coaches' replies in your Messages and notify you about them.
  • To suggest follow-ups when a coach hasn't replied (you always decide whether to send one).
  • To show your public recruiting profile, if it's turned on.
  • To keep the service secure, prevent abuse, and fix problems.
  • To send account emails, like sign-up confirmation and password reset.

A coach only hears from you when you send an email. Your introduction includes facts from your profile: your name, class, school and location, events and marks, recognition, other sports, height and weight if you added them, your race video link, and your GPA if you added it.

Your phone number, parent or guardian details, high school coach's details, test scores, IDs and transcript are never included in your emails. They're shared only when you choose to share them with a specific coach. Academics are shared as a private link that you can turn off at any time, and we tell you when it's opened.

Emails are sent from an address like firstname.lastname@trackrecruits.com, and coaches' replies go to your account email and your Messages.

After you finish your profile, you get a public page at trackrecruits.com/yourname that you can share. It shows your photo, name, class, school and location, events and marks, recognition, other sports, height, weight and race video link. It never shows your age, birth month, contact details, GPA, test scores, IDs or transcript. The page is hidden from search engines, and you can turn it off in Settings.

We don't sell or rent your information, and we don't share it for advertising. We share it only:

  • With the coaches you choose, as described above.
  • With service providers that run TrackRecruits for us, under agreements that limit how they use it: our hosting and database provider (Lovable Cloud), our product analytics provider (PostHog, which receives only the usage records described above), our email providers (Resend for emails to coaches, and Lovable's email service for account emails), Stripe, which processes payments for Pro and keeps the billing details you give it under its own privacy policy, and OpenAI, which helps write your introduction. OpenAI receives only the recruiting facts listed above, never your contact details, photo, academics or messages, and we ask it not to store them.
  • When required by law, or to protect the safety of our users or the public.
  • If TrackRecruits is sold or merged, in which case this policy would continue to apply to your information.

To help athletes reach the right coach, we collect coaches' names, titles, event groups, work email addresses, office phone numbers and staff photos from the official athletics websites of colleges and universities. We never guess an email address. Coaches who want their information corrected or removed can email support@trackrecruits.com.

  • View and edit your profile, contacts and academics anytime in Profile.
  • Turn off your public profile, notification emails, follow-up suggestions and any shared academic link in Settings and Messages.
  • Delete your account in Settings. This permanently removes your profile, photo, transcript, conversations and settings.
  • Ask for a copy of your information, or ask us any privacy question, at support@trackrecruits.com.

We keep your information while your account is open. When you delete your account, we delete your profile, files, conversations and settings right away. Usage counts are kept without any link to you. Emails already delivered to a coach stay in that coach's inbox, and our email providers may keep delivery records for a limited time under their own policies. Deleting your account also cancels a Pro subscription. Stripe keeps payment records as the law requires.

Your information is stored with access controls that limit each account to its own data. Photos and transcripts are kept private, academic links can be turned off, and our service keys stay on our servers. No system is perfectly secure, so please use a strong password and keep it private.

If we make important changes, we'll update the date at the top and tell you by email or in the app before they take effect.
